Start with a defined outcome
Replace “use AI more” with a specific task: summarize a public report, draft a project update or explain a formula. Define what a useful result looks like before choosing a tool.
Check the information boundary
Identify whether the task involves public, personal or confidential information. Use only tools and data handling arrangements that are appropriate for that information. Do not assume a consumer account and an organization-approved workspace have the same controls.
Separate assistance from authority
A useful draft is not an approved decision. Keep a person responsible for checking factual claims, calculations and any action that affects customers, money, access or operations.
Test a small, repeatable workflow
Choose representative examples, record the original process and compare the output against a simple checklist: accuracy, completeness, effort and review time. Keep the workflow only if the overall result is useful.
A prompt structure you can reuse
State the task, provide permitted context, define the output format and describe the checks required. Ask the assistant to identify missing information instead of filling gaps with invented details.
